The headlines

The short version, before the detail.

We collect what delivering your service requires: your contact details, your career information and documents, and recordings or transcripts of sessions. AI tools help us build your documents, and every deliverable is personally reviewed by Aneal before it reaches you. Nothing is decided about you by a machine alone. Your data is never sold, and nothing about you appears publicly, in a case study or anywhere else, without your explicit written consent. You can ask for a copy of your data, a correction, or deletion at any time by writing to [email protected].

Who we are

CareerVive is Aneal, and Aneal is the data controller.

CareerVive is operated by Aneal Birdi, trading as CareerVive, based in Birmingham, United Kingdom. For everything in this policy, CareerVive is the data controller, which means it is us who decides how your personal data is used, and us who answers for it. Contact: [email protected].

What we collect

Only what the work needs.

Contact details: your name, email address and phone number, provided when you book a call, buy a service, join the mailing list or message us.

Career information and documents: your CV, career history, goals, salary information you choose to share, and any documents you upload or send. This is the raw material of the work.

Session recordings and transcripts: coaching calls, Vision Calls held by video or phone, and CV Engine voice sessions may be recorded and transcribed so nothing you tell us gets lost. You can opt out of recording at any time by writing to [email protected].

Assessment responses: if you complete an assessment such as the Leadership Style assessment, we store your answers and results to deliver your report.

Payment information: payments are handled by Kajabi and its payment partners. We see confirmation of payment, never your full card details.

Messages: what you send us over WhatsApp or email as part of your programme.

Website usage: our site runs on Kajabi, which sets the cookies needed to operate the site and, with your consent where required, analytics cookies that show us how pages are used, never who you are as an individual. You can refuse or clear non-essential cookies at any time through your browser or the site's cookie controls, and the site keeps working.

Why we use it

To deliver what you bought, and nothing sneaky.

We use your data to deliver the service you have purchased, which is our contractual basis: running your sessions, building your documents, personalising your coaching, and staying in touch about your programme.

We rely on legitimate interests for the ordinary running of the business: keeping records of what was agreed, improving how we deliver, and protecting against misuse. We ask for consent where the law requires it, including before any public use of your story, and we process data where legal obligations demand it, such as tax record-keeping.

Coaching conversations sometimes touch on sensitive territory, health, family, beliefs, because careers are lives. Anything sensitive you share is used only to coach you well, is never shared, and is deleted on request. We encourage keeping sessions focused on your career, and nothing sensitive is ever required.

Marketing and The Weekly

One useful email a week. Leaving takes one click.

If you join our mailing list or become a client, we may send you emails such as The Weekly and occasional news about our services, using Kajabi to deliver them. Every marketing email carries an unsubscribe link, one click and you are out, or write to [email protected] and it is handled personally. Leaving the list never affects a service you have purchased, and clients always receive the emails their programme genuinely requires, such as session confirmations and deliveries.

AI in our services

AI does the heavy lifting. Aneal signs off every deliverable.

CareerVive uses AI tools to deliver parts of the service, including the CV Engine's voice session and document drafting. These tools process the information you provide, including transcripts of your sessions, to produce your documents and insights.

Two commitments sit over all of it. First, every client deliverable is personally reviewed by Aneal before it reaches you; no CV, report or recommendation goes out on machine judgement alone, and no decision with real consequences for you is made by automation. Second, your data is not used to train AI models, ours or anyone else's. Our AI providers, including Anthropic, process your data only to deliver the service, under agreements that prohibit training on it.

One exception in structure: CareerViveGPT runs as a custom GPT inside ChatGPT, which means your conversations there happen directly with OpenAI under OpenAI's own terms and privacy policy, which we encourage you to read.

AI can make mistakes. That is precisely why the human review exists, and why our Terms ask you to read your final documents before you rely on them. And if you ever want to understand how any AI-assisted output about you was produced, or want it looked at again by a human, ask: Aneal built the system and will explain it in plain English.

Who we share it with

Trusted providers, professional advisers, and the law. Nobody else. Never sold.

We use carefully chosen providers to run the service, each processing your data only as needed for their job: Kajabi (website, email and payments), Calendly (scheduling), Anthropic (AI processing), OpenAI (CareerViveGPT only), transcription services for session notes, Railway (application hosting), Cloudflare (secure file storage), and Resend (email delivery). We may share data with professional advisers such as accountants or lawyers where genuinely needed, and with authorities where the law requires it.

Your data is never sold, rented or traded. And nothing identifying you, your name, your story, your results, appears in any public material, case study or testimonial without your explicit written consent; our standing policy is to withhold client names even where consent has been given.

When your employer pays

In outplacement, the employer funds the room. What's said in it stays yours.

Where an employer funds your programme, such as outplacement support, the coaching relationship is still with you. What you share in sessions, your documents, your recordings and your plans are never passed to the employer. At most, the employer is told that you participated and engaged with the programme they paid for, and anything beyond that requires your explicit written consent first.

Where your data lives

Some providers are outside the UK. The safeguards travel with your data.

Some of our providers, including our AI and hosting providers, are based in the United States or elsewhere outside the UK. Where your data leaves the UK, we rely on the safeguards UK GDPR requires, including the UK's data transfer agreements and providers' certifications under recognised frameworks, so the protections follow the data.

How long we keep it

As long as we're working together, then only what the law requires.

We keep your data while your programme or service is active and for a reasonable period afterwards, so returning clients don't start from zero. Financial records are kept for up to six years, as UK tax law requires. Everything else is deleted when it is no longer needed, or when you ask: write to [email protected] and deletion is handled personally, usually well within 30 days. If a fragment cannot be fully erased for technical reasons, it is locked away from any further use.

How we protect it

Guarded like it's ours. Because the trust is.

Your data is encrypted in transit, stored with reputable infrastructure providers, and accessible only to Aneal. Access credentials, storage and security measures are reviewed regularly. In the unlikely event of a breach affecting your data, you and the ICO will be told as the law requires.

Your rights

Your data answers to you.

Under UK GDPR you can ask for a copy of the personal data we hold about you, have errors corrected, have your data deleted, restrict or object to how it is used, and receive your data in a portable format. Write to [email protected] and you will have a response within 30 days, usually much sooner, from Aneal directly rather than a form letter. Where you have given consent for something, you can withdraw it at any time and we stop. For your protection, we may need to confirm you are who you say you are before releasing or deleting data. And in the rare case where the law requires us to refuse or limit a request, for example records we must keep for tax purposes, we will tell you exactly what we cannot do and why, rather than going quiet. If you are ever unhappy with how a request is handled, you can complain to the Information Commissioner's Office at ico.org.uk.

CareerVive's services are for professionals aged 18 and over. We operate from the UK under UK law; if you use our services from elsewhere, local rules may also apply to you. If this policy changes materially, the update will be posted here with a new date, and clients with active programmes will be told directly.
